Standard Electronic Format for Recording Journals
Editors of the journals applying to ULAKBIM Turkish Engineering and Basic Sciences Database, in conformance with Journal Evaluation Criteria, should send two printed and one electronic copy of each new issue to ULAKBIM, at the latest within four months following its publication. Electronic copies are used for recording the bibliographic information (article title, author, journal name etc.) of the articles in the database. Full-texts of journals take place in the database only after the editors' approval of the related item in the contract they will be asked to sign after their journals are accepted to the ULAKBIM Turkish Engineering and Basic Sciences Database.

Electronic copies of journals should be arranged as shown in the Table-1, recorded preferably in a CD and sent to ULAKBIM.

Standard Electronic Format Recording Stages

  1. Name of the first file should be assigned as the ISSN number of the journal. Thus, for a journal of which ISSN number is 1301-1421, name of the file "ISSN" in the Table should be "1301-1421".
  2. Create a (series of) file(s) for the "Year" of publication in this first file (See Table-1 2003).
  3. Create a new file for each volume of the journal under the "Year" file, assigning each file a name, writing the volume number next to the word "Cilt" (See Table-1. Cilt1, Cilt2 etc.).
  4. If there is no volume information in the journal, create a file for each issue under the file "Year", writing the number of each issue next to the word "Number" (e.g. Number 1).
  5. Save the articles in both word and pdf form, under the related issue files, giving the page numbers as the name of the file (e.g. 1-17.doc).
  6. Save the index page in both word and pdf form in a file named "IS" (See Table-1. IS.doc, IS.pdf)
  7. If a journal uses year instead of volume and issue number, hierarchy of the files should be organized accordingly, and last digits of the year should be written after the word "year" (e.g. Yıl25 etc.).
  8. Articles taking place in supplements to a year/volume/issue should be recorded under the related file (e.g., if it is added to a year, under the "year" file, if it is added to a volume, under the "volume" file), creating a file named "EK" If there is more than one supplement, the number of supplementary issues should be stated next to the word "EK" (e.g. EK1).
